Help & FAQ
Step-by-step how-to guidesWelcome to MySchoolPort. Tap any question to see the answer.
Getting started
Enter the join code from your school flyer, email, or text invite on the home page, then create your account. If your school requires approval, an admin lets you in shortly after.
Open the menu and choose "Install app," or use your browser "Add to Home Screen" option. It then opens like a normal app from your home screen, with no app store needed.
Yes. Use Switch school in the top bar to move between schools you have joined, or choose "Join a school" in the account menu to add another with its code. Each school keeps its own directory and settings.
Open About this school from the account menu. It shows your school's principal, phone, office email, office hours, website, and social accounts, plus a map of the campus with a Get directions button. Your school's social links also appear in the footer at the bottom of every page.
Yes. Open the account menu (top right) and tap "Take a tour" for a short guided walkthrough that points out the directory, staff and sports, events, deals, giving, and your account menu. You can skip it anytime, and tick "Don't show again" so it stops popping up.
No. The app is free for families. Your school covers it. Any money you donate or spend on a deal goes directly to your nonprofit or the local business, never through the app.
On the login page choose "Forgot password" and enter your email. You will get a reset link. If it does not arrive within a few minutes, check your spam folder or ask your admin to resend your invite.
Some schools approve new families by hand to keep the directory private. Until an admin approves you, you can sign in but the directory and other features stay locked. It usually takes a day or two.
Directory
Open the Directory and start typing a name; it filters as you type. You can also sort, switch between grid and list, and use the buttons at the top to jump to Staff, Birthdays, or Give.
Yes. In the Directory toolbar, tap the map icon (or open Member map). It plots how many families are in each ZIP as pins on a map - bigger pins mean more families. Tap a pin to see that ZIP and jump straight to those families. It shows counts only, never anyone's address.
Open a family profile. You will see any email or phone they chose to share, and a "Save to Contacts" button that adds them to your phone address book.
It is your own private shortlist. Tap My directory on any member's profile - or the bookmark on a staff member or coach card - to save them. Then use the My directory button in the toolbar on the Directory, Staff, or Sports page to show just the people you saved from that section. Only you can see your list, and saving someone never notifies them.
Yes. Open any member's profile - or a staff member or coach in the Staff directory - and tap "Add a private note." Jot a short reminder (up to 280 characters), like "carpool Tue/Thu" or "room parent." Your note also shows on their directory card, and any email or web address becomes a clickable link. It is completely private (only you can see it) and is separate from My directory, so noting someone does not add them to your shortlist.
It marks a Legacy family: one with no current students at the school who chose to stay in the directory, for example after their youngest graduated. They are still members you can connect with, just clearly labeled so everyone knows. A family can turn this on themselves in My Profile under "Time at [school]", or a School Admin can set it during the year-end roll-up.
Each family chooses what to share. If a phone or email is hidden, that family turned it off in their profile. You control your own the same way in My Profile.
Once your membership is approved you are listed automatically. Add a photo and fill in your profile so other families recognize you and can connect.
Groups
Groups are the school's teams, clubs, grades, and committees (like Girls Soccer, Chess Club, or 3rd Grade). Open My Groups from the menu and tap the star on each group your family belongs to - it saves instantly, with no Save button, and tapping the star again leaves the group. Search by name or keyword to find them fast (try a sport, a grade, or "boys" / "girls"). The ones you star become "your groups," shown at the top of the page.
In the Directory, tap the My Groups button in the toolbar (the star) and pick one of your groups; the list then shows only those families. To go back to everyone, tap the "Clear" button that appears next to it, or "Clear filter - show all families" at the top of the menu. Only the groups you've starred show up here, so the list stays short and personal.
Yes. On the My Groups page tap "Request a group," enter the name (and a short description if you like), and send it. Your school gets an email and can create it with one click. Once they add it, it appears for everyone to star, and your description becomes the note other parents see next to it.
Staff & Sports
Yes. The Staff and Sports pages work like the main directory: search by name, sort by last name, first name, or newest, and switch between card and list view (with a reset button). Tap the bookmark on anyone to add them to My directory, then use the My directory button to show just your saved staff or coaches.
Use the Staff button at the top of the Directory and choose Coaches & Sports. Coaches are grouped by sport with their role and contact info. Many schools add a note at the top telling you how to reach a coach (for example, a main number plus each coach's extension). Some schools instead link or attach their own athletics page.
Use the Staff button at the top of the Directory and choose Coaches & Sports (the two tabs switch between Teachers & Staff and Coaches & Sports). Coaches are grouped by sport with their role and contact info, and many schools add a note at the top with how to reach a coach. Some schools instead link or attach their own athletics page.
Notes
A private notepad just for you, found under My notes in the account menu. Add short notes (up to 280 characters each) for reminders or to-dos, then edit or delete them anytime. Any email or web address you type becomes a clickable link. They are not attached to any family and no one else can ever see them.
Household & friends
Link the members of your family so they show together. Open "My household" from the account menu to create it and add people.
A private way to remember families you have connected with. Tap "We've met" on someone's profile, then find them later under your connections. Only you see your list.
A private way to remember families you have met. Mark someone on their profile, then find them later under your connections. Only you see your list.
Events
Open Events to RSVP with one tap. Tap "Add to calendar" on any event to add it to Google, Apple, or Outlook. Some events include a flyer or PDF you can open right there.
When a school needs helpers, the event shows a green "Volunteers needed" badge. Tap Volunteer on that event to see the roles (like "Setup crew" or "Bake sale table"), then tap "Sign up" next to any open spot. Each open role has an "Add a note (optional)" box right above the Sign up button — use it if there's something the organizer should know, for example "can only stay until 3 PM" or "will bring drinks." You can see who else has signed up and their notes. If your plans change, tap "I can't make it" to give your spot back so someone else can take it.
School Admin → Events, then add or edit an event and turn on "Ask for volunteers." List the roles you need and how many people each one takes. Families see a "Volunteers needed" badge and sign up in a tap. On your event list you'll see a filled/needed count, and opening the event shows exactly who signed up.
Some schools run certain sign-ups (like potluck items or conference time slots) on SignUpGenius. When they do, that event shows a "Sign up on SignUpGenius" button that opens their sign-up in a new tab, where you pick your spot. It is separate from the in-app RSVP and volunteer sign-ups, and those responses are kept on SignUpGenius.
Open Events for the full list, sorted by date. Past events drop off automatically, so what you see is always upcoming.
Links
Open Links from the menu. Your school keeps its useful links there, such as registration forms, the school calendar, the lunch menu, or the spirit-wear store. Some schools instead point straight to a page on their website or a PDF they uploaded.
Deals
Local businesses sponsor your school and offer coupons. Open a deal, tap Save, then show the code at the register. Find your saved ones under Deals, Saved. You can filter deals to ones near your ZIP code. Every sponsorship supports your nonprofit.
Open the deal and show it at the business. Some use a shared code, some give you a unique code, and some scan a QR at the register. The deal page tells you which and shows anything you need.
Scroll to the bottom of the Deals book to see "Thanks to our sponsors," the local businesses supporting your school. Some sponsor without running a deal, and they are listed there too.
Giving
Open Give in the menu, pick a campaign, and tap Give. You will see your school payment options, such as a donation page, PayPal, Venmo, or check. Send your gift with one of them, then log the amount so the school can thank you and track the goal. The app never charges you; your nonprofit receives the money directly.
Active campaigns show as a banner at the top of the app right after you log in. You can also open Give any time to see every campaign with its goal and progress.
A gift you log starts as "awaiting confirmation." Once the school sees your payment arrive in the nonprofit account, they mark it received and it counts toward the goal. This can take a few days.
Yes. Your school issues receipts through its nonprofit. Ask your admin if you need one for your tax records.
Giveaways
During some membership drives your school runs free prize giveaways. Open Giveaways in the menu, or tap the banner, to enter. Depending on the giveaway you tap to enter a raffle, answer a question, or vote in a poll. Every entry is free, one per family, and the winner is drawn at random. If you win, you will see it on the giveaway and in a banner that shows where to pick up your prize. Recent winners are listed on the Giveaways page.
Spotlights
Spotlights is where families promote their own business or service (like a realtor, tutor, or photographer) and post celebration shout-outs (happy birthday, congrats grad). Open Spotlights in the menu, tap "Post a listing," fill it in, and the school reviews it before it goes live. When you post, you pick a term (for example two weeks, six months, or a year); your listing shows from the day it is approved until the term ends, then expires, so the board stays fresh.
It depends on your school and the term you pick. The form shows the price for each length and the date your listing would end. Some terms may be free. You pay your nonprofit directly, and the listing publishes once the school confirms payment.
Open Spotlights, My listings. Tap Renew to start a new term, or Pause to hide it for a while; paused days are added back so you do not lose paid time. When a term ends we email you a one-tap Renew link.
Birthdays
Open Birthdays to see whose birthday is coming up. Tap a family to send a private birthday wish. Your own birthday only appears if you turn it on in My Profile.
My account
Open My Profile from the account menu. You can update your photo, bio, birthday, and contact details, and use the per-item toggles to choose exactly what other families can see.
At the start of each school year we show a quick "confirm your info" check so the directory stays current - mainly so your family's grade is up to date as your kids move up a grade. It takes a few seconds: tick your grade(s), glance at your phone number, and tap Confirm. You can tap Skip for now and we'll remind you next time; saving your full profile also counts as confirming. You'll see a New school year banner, or open Confirm your info any time.
In My Profile you can pick the school year your family expects to leave, meaning the year your youngest child graduates or moves on. It is optional. Setting it helps the school keep the directory current and know when to wrap up your spot, and you can change it anytime, for example if another child enrolls. When that year passes, the school archives your family from the directory; your account and any tax receipts are kept.
Open My Profile and tap "Leave a school or delete my account" at the bottom. If you belong to more than one school (a child at each), you can leave just one school and keep your account and your other schools, which is usually what you want when a child moves on; you can re-join later with a code or invite. Deleting your whole account removes you from every school: it asks for your password and to type DELETE, and by default stays recoverable for 30 days (just log back in to undo), or you can choose to erase it permanently right away.
Yes. Open Settings from the account menu. You can switch the theme to Light, Dark, or System (match your phone), make the text Large or Extra large, and turn on High contrast. It applies everywhere and is saved to your account.
Yes, if your device supports it (Face ID, Touch ID, Windows Hello, or a fingerprint reader). Open Settings, then the "Fingerprint / Face login" card, and tap "Add this device." After that you can sign in with a tap instead of typing your password. You can set up more than one device and remove any of them from the same place.
To change it while logged in, open Settings from the account menu and use the Change password section (you confirm your current password first). If you are locked out, tap "Forgot password?" on the login page and we email you a reset link.
In My Profile, find the Name Pronunciation card and tap Record to say your name (a few seconds), then it saves. A small speaker button then appears on your directory card so other families can hear it. You can re-record or delete it anytime.
In My Profile you can add a written pronunciation and record a short audio clip of your name, so other families and staff say it correctly.
Ask your admin to remove you, or it happens on its own: when your last student graduates the school archives your family from the directory. Your account and any receipts are kept unless the school later clears old records.
Privacy
Only approved families at your school. Your name and photo show to members; your email and phone stay hidden unless you turn them on. Open My Profile to choose exactly what you share.
The directory is private to approved families only, never public or searchable online. Contact details appear one profile at a time, and bulk copying is blocked and flagged to admins, so no one can harvest the whole directory.
Yes. In My Profile, use the per-item toggles to turn your email, phone, birthday, and social links on or off for the directory at any time.
Staff
Open Staff, or use the Staff button at the top of the Directory. You will see teachers and staff with their room and contact info wherever the school shares it. Some schools instead link or attach their own staff page.
